PetCare Reward Card Scheme
Terms and Conditions

Use of the PetCare card implies acceptance of the following:

  1. PetCare reward cards are issued free of charge to clients of Ingleburn Veterinary Hospital. Your card must show your membership number, the date of issue, and the initials of the staff member who issued the card.
  2. Your PetCare card must be presented to our staff at the start of any transaction made. Our staff will record the date and amount of the transaction, and initial the card. If you have forgotten your card, you must ask for an invoice to be issued in your name, and bring this invoice with you the next time that you use your card. Our staff will copy the details from the invoice to your card. However, we will not accept invoices not bearing the name of the cardholder. It is your responsibility to make sure that you carry your card with you whenever you come to the hospital.
  3. Lost cards are the responsibility of the cardholder.
  4. We will normally permit only one entry per card per day. However if you bring in two animals, we will allow one entry on the card for each consultation fee (including vaccination consultation fees) that is paid.
  5. The following transactions are excluded from the PetCare reward scheme and will not be entered on your card:
    1. invoices on which a discount (of 8.33% or greater) has already been given,
    2. purchases of single monthly heartworm tablets,
    3. purchases totalling less than $5.00,
    4. account payments. We do not offer accounts, and will enter on your PetCare card only payments made at the time the invoice is issued.
    5. any payment that is collected on behalf of a third party. This includes (but is not limited to) fees collected on behalf of specialists that we call in on your behalf, Pets at Peace cremation services, and government registration fees.
    6. invoices paid for with reward dollars – refer point 14) below
  6. The following services are included in the scheme, but must be combined into a single entry on your card at the end of the treatment course:
    1. courses of weekly Cartrophen injections,
    2. courses of regular antibiotic injections or regular dressing changes,
    3. any other repetitive small value services similar to those listed above.
  7. When your PetCare card is filled, it will be retained by our staff. The amounts on each line will be totalled, and recorded on the bottom of the card. The total will be divided by 12 and also recorded on the bottom of the card as your reward. A new card will be issued, showing the reward earned from the previous card. Normally this will be done while you wait, and the new card will be issued immediately. If this is not possible, then the new card will be posted to you within 3 working days.
  8. The reward recorded on your card is not valid until a full-time member of our staff has verified the old card. Verification checks that each of the entries on our card matches our records, and that none of the purchases recorded have subsequently been refunded. If we find any discrepancies, we will try to contact you. Once your reward has been verified, it will be recorded on our computer system, and can be deducted automatically from your next bill(s).
  9. No reward will be issued until all invoices on the card have been fully paid.
  10. Your reward can be used towards any future payments at our hospital, with the exception of those in point 5) v) above. If the reward exceeds the value of your next purchase, then any residual can be retained towards subsequent purchases.
  11. Under no circumstances can the reward be redeemed in cash, nor can you get a refund on any goods purchased with your reward (however exchange or credit will be granted to the value of any goods we accept for return).
  12. We will not make entries on your card for invoices paid for with reward dollars. That is, you cannot start filling your new card with invoices paid for by the reward dollars earned on your old card (or any other bonus dollar scheme). However, if an invoice is only partly paid with reward dollars, then the amount that you actually pay will be entered on your new card.
  13. We are not responsible for change in the real value of your reward caused by price fluctuations or changes in taxation laws.
  14. We may cancel the scheme at any time, if it is not successful, or for any other reason. (Of course we hope we will never have reason to do this!) If we do, we will honour our commitment to existing card holders in the following ways:
    1. any reward dollars already earned from completed PetCare cards will be honoured in full,
    2. any card holder with 1 or more entries on their card, can claim a reward to the value of 1/12th of the total of the entries on their card (this equates to the same percentage discount as if they had filled the card);
    3. rewards granted under points i) or ii) above must be claimed (but not necessarily spent) within 12 months of the date that the scheme is cancelled.
  15. Any attempt to use the card fraudulently will result in cancellation of all past and future rewards. ((Of course we hope we will never have reason to do this either!)
  16. We reserve the right to alter these Terms and Conditions at any time. A copy of the most current Terms and Conditions can be requested by you at any time.
